Different Indian document services use different tracking systems. This guide explains where to check OCI, Passport Seva, VFS and courier updates, what common status wording usually means, and when it may be worth asking Matrix Solutions to review the message with you.

Start with the correct tracking route

  • OCI applications are normally checked on the official OCI status enquiry page using the applicant's passport number and OCI file or acknowledgement reference.
  • Indian passport applications are usually checked through Passport Seva using the application or file number shown on your appointment pack or receipt.
  • VFS updates and courier movement are checked through the VFS tracking page or courier details given on your receipt, SMS or email.
  • Indian e-Visa decisions are generally issued by email and can also be checked through the official Indian e-Visa portal using the application details.

OCI status wording in plain English

OCI status wording can be short and sometimes unclear. Phrases such as under process or under review usually mean the file is still being checked by the relevant authority. Processed, granted, dispatched or document received wording can appear at different stages depending on the portal sync. A status that does not change for some time may still be normal, especially during busy travel seasons or when the High Commission workload is high.

Passport Seva and VFS status messages

Passport Seva may show stages linked to appointment submission, police verification where applicable, printing, dispatch or return. VFS messages often relate to receiving the application, forwarding it to the mission, receiving it back from the mission, courier dispatch or collection readiness. The wording can vary by centre and by service type.

Courier and delivery tracking

If courier delivery was selected, the tracking number may become useful only after VFS or the mission releases the document to the courier partner. A courier reference may show no movement for a short period before the first scan. If delivery details look incorrect, check the address on your VFS receipt and contact VFS or the courier using the official channel shown on your receipt.

When a status may need attention

  • A request for additional documents or clarification usually deserves quick action.
  • A mismatch between your name, passport number or application reference should be reviewed carefully.
  • A long pause immediately before travel may need a realistic travel-risk conversation rather than repeated portal refreshes.
  • If the status suggests the file has been returned or could not be delivered, check VFS and courier instructions before booking new travel.
