The first thing to understand is that a name change on an Indian passport is not an edit; it is a full re-issue. A new booklet is printed with a new passport number, and the old one is cancelled. This means it goes through the same level of scrutiny as any fresh passport application.

There are also two distinct processing lanes, and which one applies to you determines how many documents you need. Most people assume a major paper trail is required for every name change — that is not always true.

Two lanes: simple surname change vs major name change

Lane one applies to a straightforward post-marriage surname change. If you have taken your spouse's surname and the marriage certificate clearly shows the link between your old and new name, this is generally a lighter process. A marriage certificate, your current passport, and a spouse annexure or declaration are usually enough. Newspaper advertisements and a Gazette of India notification are generally not required for this lane.

Lane two applies to major name changes: adding or removing a first name, adopting a wholly different name, reverting to a pre-marriage name after divorce, or any change that is not a straightforward marriage surname adoption. This lane generally requires a UK deed poll or affidavit, advertisements in two print daily newspapers (not digital versions — the portal commonly rejects e-paper PDFs and screenshots), and often a Gazette of India notification.

What a UK deed poll proves — and what it does not

A UK deed poll is valid evidence that you have changed your name under UK law, and the Indian authorities will accept it as a supporting document. However, for a major name change (lane two), the deed poll alone is not sufficient — the newspaper advertisements and Gazette notification are still required. A deed poll is a starting point, not a complete solution.

Confirm which lane applies to your specific change before spending money on newspaper ads. A simple post-marriage surname change often needs far less paperwork than people assume.

The newspaper advertisement requirement

For major name changes only: advertisements must be placed in two print daily newspapers — one national, one local. The print edition is required. An e-paper PDF, a screenshot of the online edition, or a digital subscription page is commonly rejected. If you are going down lane two, plan for print editions specifically and keep the physical copies.

The Gazette of India notification is also commonly required for major changes. This takes additional time to arrange, so factor it into your overall timeline.

What a name change means for your OCI

If you hold OCI as a British citizen, a name change on your Indian passport generally does not apply (you will not have a live Indian passport to update). But if the name on your OCI no longer matches your current British passport — for example after marriage — the OCI is updated online through the OCI Passport Details Update (£125, e-OCI included), so the two documents match — no VFS visit.

The sequence matters: sort the name on your British passport first (if it changed through marriage, the DVLA, passport office, and other UK authorities come first); then update the OCI online through the OCI Passport Details Update so the name matches. Do not submit an OCI update until the British passport reflects the correct new name.

Timelines

For a standard passport re-issue (name change), timelines are similar to a normal renewal — typically four to five weeks, or five to ten working days on a priority (Tatkal) appointment. Major name changes that require Gazette notification add lead time on top of this; plan accordingly if you have upcoming travel.
