Who This Service Covers

Indian passport renewal in the UK covers a wide range of situations. Matrix Solutions handles all of the following case types — if you are unsure which applies to you, WhatsApp us and we confirm before you start.

Case 1

Expired Passport Renewal

Passport expired or expiring soon? Even if expired 10+ years ago, renewal is still possible. Documents vary by case — we confirm your exact checklist first.

Case 2

Name Change

Marriage, divorce, or legal name change? We handle spouse name addition, deletion, or full name change — with the correct supporting documents and forms.

Case 3

Personal Details Update

Address change, appearance change, or signature update? These require a passport re-issue. We prepare the full file and book your VFS appointment.

Case 4

Lost or Damaged Passport

Lost or damaged Indian passport in the UK? A police report is required. We guide you through the full replacement process including the correct VFS fee category.

Case 5

Tatkal — Urgent Renewal

Need your passport urgently for travel, medical, or bereavement? Tatkal processing takes 5 to 10 working days subject to High Commission eligibility. WhatsApp us before purchasing — we confirm eligibility first.

Case 6

Newborn & Minor Passport

Baby born in the UK and need an Indian passport? Birth registration with the High Commission must be completed first. We handle both — birth registration and passport application together.

Our 5-Step Process

1

Contact us and confirm your case

WhatsApp or call us with your situation. We confirm the correct passport service category (renewal, name change, lost, Tatkal) and what documents apply to your specific case — before you pay anything.

2

Receive your personalised document checklist

We send you a tailored checklist based on your exact case type. Typical documents include: current passport, UK visa or eVisa share code, UK address proof, and supporting documents for any changes. We tell you exactly what is needed — nothing more, nothing less.

3

Send scanned copies via WhatsApp or email

No originals needed at this stage. Send clear scans or photos by WhatsApp or email. Our team reviews every document against current High Commission and VFS requirements — we flag any issues before submission.

4

We prepare your full application and book VFS

We complete your online Passport Seva application, format your photo to current ICAO specification (35x45mm), upload documents, and book your VFS Global appointment at your nearest centre — London, Birmingham, Manchester, Glasgow, or Edinburgh — at a date and time that works for you.

5

Attend VFS with your ready package — we support until delivery

We email you a complete printed package — application form, supporting documents, appointment letter. You attend VFS and pay the official government fees there. We stay available on WhatsApp on your appointment day and track your application until your new passport is delivered.

Official VFS Fee Structure — Indian Passport UK (2026)

These are the official government and VFS fees paid directly at the VFS centre. Our Matrix Solutions service fee of £125 is separate and covers full application preparation, document check, photo formatting, and VFS appointment booking.

Note on photo specifications (2026): The Indian passport portal now requires ICAO-compliant photos sized 35mm x 45mm — not the older 51x51mm square format. Many pharmacies still provide the wrong size. Matrix Solutions formats your photo to the correct 2026 specification before upload, preventing rejection at VFS.

UKVI Share Code (2026 requirement): UK residents must now provide a UKVI Share Code as proof of immigration status when renewing their Indian passport at VFS. If your BRP has expired and you have a digital eVisa, you generate your Share Code at gov.uk. We guide you through this if needed.

Why UK Indians Trust Matrix Solutions

Correct photo specification — 2026 ICAO format, guaranteed

Photo rejection is the most common reason VFS turns away applications. We format your photo to the exact 35x45mm ICAO specification required by the current Passport Seva system. First-time acceptance, every time.

We know which jurisdiction you need — London, Birmingham, or Edinburgh

Passport applications must be submitted to the VFS centre covering your postcode. Selecting the wrong jurisdiction adds weeks to processing. We confirm your correct jurisdiction and book the right VFS centre for your home address.

Police verification guidance included — no extra charge

Police verification in India is required for all passport renewals. We provide complete guidance and a work letter template at no additional cost — this is a step many applicants are caught off guard by.

Tatkal eligibility confirmed before you pay

Tatkal is not available for all cases — reasons for urgency are assessed by the High Commission. We confirm your eligibility before you purchase the service, so you do not pay for something that does not apply to your case.

Free rework if rejected due to our error

If your application is rejected because of an error on our side, we rework and resubmit at no additional cost. Our team checks every document before submission to minimise this risk — but the guarantee is there if needed.

WhatsApp support on your VFS appointment day

Available 9am to 9pm, seven days. If you have a question at the VFS counter or need to confirm a document, message us and we respond immediately. Real people, not automated responses.

Common Reasons for Passport Rejection at VFS

Matrix Solutions checks all of the following before your application is submitted:

  • Photo wrong size — old 51x51mm format submitted instead of 35x45mm ICAO
  • Shadow on face or background in photo — strict ICAO standard now enforced
  • Wrong VFS jurisdiction selected — London applicant booking Birmingham, or vice versa
  • Missing UKVI Share Code — required since 2025 for all UK residents
  • Self-attestation missing — every photocopy must be signed "Self-attested" by applicant
  • Indian address incomplete or wrong police station mentioned on form
  • Signature on application touching the border of the signature box
  • Tatkal reason insufficient — not all reasons accepted by High Commission
  • Spouse name change without supporting marriage certificate

Frequently Asked Questions — Indian Passport Renewal UK

How long does Indian passport renewal take in the UK?

Standard processing typically takes 4 to 5 weeks from your VFS appointment date. Tatkal urgent processing takes 5 to 10 working days subject to High Commission approval. Always apply at least 8 to 10 weeks before any planned travel.

My Indian passport expired more than 10 years ago — can I still renew it?

Yes. Long-expired passports can still be renewed but the document requirements differ from standard renewal. WhatsApp us with your situation and we confirm the exact checklist for your case before you start.

Do I need to visit a VFS centre in person?

Yes. Indian passport renewal requires a physical VFS visit for document submission and biometric verification. However, everything else — application preparation, document checking, photo formatting, and appointment booking — is handled remotely by Matrix Solutions. You only attend VFS on the day.

Which VFS centre do I go to?

VFS centres are assigned by jurisdiction based on your UK postcode. Main centres are in London (Hammersmith), Birmingham, Manchester, Glasgow, and Edinburgh. We confirm your correct centre when we book your appointment — selecting the wrong one causes delays.

What is a UKVI Share Code and do I need one?

Since 2025, BRP cards have been replaced by digital eVisas for most Indian passport holders in the UK. You now need to generate a UKVI Share Code at gov.uk to prove your UK immigration status — this is required alongside your BRP or visa copy at VFS. We guide you through generating this if needed.

Can a family member submit my passport application on my behalf?

In most cases, yes — an immediate family member (spouse or blood relative) can submit with an authorisation letter from the applicant and their own photo ID. We provide the authorisation letter template as part of our service.

Is Tatkal guaranteed?

No. Tatkal is subject to High Commission approval based on the reason for urgency. Travel bookings alone may not qualify. Medical emergencies, bereavement, and certain business reasons are more likely to be accepted. WhatsApp us before purchasing Tatkal — we confirm your eligibility first.

What is police verification and do I need it?

Police verification is a standard requirement for all Indian passport renewals. The local police station at your Indian address conducts a verification visit. We provide full guidance on this process and a work letter template at no additional charge.

I lost my Indian passport in the UK — what do I do?

Report the loss to UK police and obtain a crime reference number. Then apply for a fresh passport in lieu of lost — a different fee category from standard renewal. WhatsApp us and we guide you through the correct documents and process from there.

e-Passport now available (2026): The Indian High Commission Birmingham has launched biometric e-Passports with embedded RFID chips, in line with ICAO standards. These are now available for applicants in the Birmingham jurisdiction. Ask us about eligibility when you contact us.

BRP to eVisa — completed January 2025: All BRP cards have now been replaced by digital eVisas. Use your UKVI Share Code (generated at gov.uk) as proof of UK immigration status at VFS. If you are unsure how to access your eVisa, WhatsApp us and we will guide you. Official guidance here.
